How I’m Automating My Workflow as a Beginner Using Zapier and n8n — No Code, Just Results

By Ashutosh Pandey — LLM Agent Developer and Student

📌 Why I’m Learning Automation as a Beginner

Hey there 👋 I’m Ashutosh, 18 years old and currently building tools like CareerBuilder AI while studying for my BSc in Computer Science.

Between college, YouTube, blogging, and coding AI agents — I realized I’m spending too much time doing repeat tasks. So, I started learning no-code automation to make my life easier.

Today I’m sharing how I started automating my tasks using Zapier and n8n — even as a complete beginner.

⚙️ What is Automation (and Why It’s a Superpower for Developers)

Automation means using tools to make apps talk to each other without writing full code every time.

Example: When someone submits a form → auto-save data to Google Sheet → send a confirmation email → trigger a Notion update.

Before automation, I did all this manually. Now, I let bots do the boring stuff while I focus on AI, projects, and learning.

🚀 What I Used: Zapier vs n8n

I tried two tools:

  • Zapier: Super beginner-friendly, 1000+ integrations, drag-and-drop interface, fast setup.
  • n8n: Open-source, free to self-host, more flexibility, but needs a bit more understanding.

Both are amazing. If you're a beginner, Zapier feels easier. But n8n is more powerful once you get used to it.

🔧 First Thing I Automated (Real Example)

I created a workflow to do this:

  1. When someone fills my Google Form (resume upload or job request)
  2. Zapier saves it in Google Sheets
  3. Then sends me a Telegram/Email alert

This alone saved me 1–2 hours per week. That’s huge for someone juggling studies + projects + content.

💡 My First n8n Workflow

With n8n, I created a slightly more complex automation:

  • Webhook receives input
  • Text is analyzed with OpenAI API
  • Output is sent to Telegram or email

It took longer to set up, but now I can customize every node and even add LLM responses. n8n feels more “developer-like” while still being no-code.

🧠 What I’m Using Automation For (Right Now)

  • 📩 Auto-response to user form submissions (feedback, resume)
  • 📊 Save insights in Notion or Sheets
  • 📤 Tweet/Share new blog posts automatically
  • 🧠 Future: Use n8n to run RAG pipelines and send responses

📈 Benefits I Already See

  • 🕒 Saved at least 5–6 hours/week on repetitive work
  • ⚡ Faster content and feedback cycles
  • 💡 Clearer thinking — I’m now designing workflows instead of drowning in tasks

🔗 How You Can Start (Beginner Tips)

  1. Start with Zapier. It's free up to 100 tasks/month and very intuitive.
  2. Watch 1–2 YouTube tutorials on “Zapier beginner workflows”.
  3. Try to automate one thing you do daily — like saving notes, sending reminders, or tracking tasks.
  4. Once comfortable, move to n8n.io for more power.

🧩 Tools I Used

ToolPurpose
ZapierQuick automations for Google Forms, Sheets, and email
n8nAdvanced automations, OpenAI API, multi-step workflows
Google SheetsStore responses and data
Telegram APISend custom alerts
OpenAI APISummarize or classify text in workflows

📚 What I’m Still Learning

  • How to manage errors in long workflows
  • How to run background automations for AI agents
  • How to make automation scalable (token limits, latency, etc.)

🎯 Final Thoughts: Why You Should Learn Automation in 2025

In 2025 and beyond, automation is not just a bonus skill — it’s essential.

Whether you’re building AI tools, managing content, or studying — automating boring tasks gives you superpowers.

I’m not an expert (yet), but I’ve already seen the results. So if you’re reading this:

Start today. Automate one task. Then scale your time.

It’s how I’ll keep building tools like CareerBuilder AI while staying in college and growing my brand.
